Registration Process Overview
Summary
The purpose of this document is to provide a high-level overview of the registration
process for playing in any Delco Soccer League season (fall, winter, spring). You will find information regarding
the general steps, tasks, and results of the registration process.
This document will not provide detailed instructions on how to register a club,
team, or field for a season. Separate
documents are available on the
Delco website.

Registration Process
This section provides general details of each step in the process.
Registration opens
The major season in the Delco Soccer League is the fall season, which kicks-off
with Annual General Meeting (AGM) usually held at the end of April every year. The winter and spring seasons do not
have any formal kick-off meeting
Each season�s registration period open date will be published on the Delco website
on the home page under �Upcoming Events�. This section shows the 5 closest events. If you wish to see a full calendar
of events you can click the �Calendar�
link found on the home page under the �Site
map.�
Please note that prior to the registration open date club, team, and field registration
will not be available.
Registering your club
The process of registering your club for play in any given season is straight forward. However, it is a little more involved
if you are a brand new club to the Delco Soccer League.
What is a new club?
This is a club that has not registered for league play for any season (fall, winter,
or spring) since the fall of 2006.
Registering as a new club
If you are a brand new club you will need to assign a member of your club to the
club�s delegate to the league. Delegate
responsibilities and functions are detailed in the appendix.
Once your club has chosen a delegate this person will need to create an account
on the Delco website. The delegate
must create an account and register the club before any other member�s of your club
can create accounts.
When the delegate has created his/her account this person will have access to register
the club. Registering your club for
the first time is simply a matter of creating a club profile.
Once the delegate has registered your club the system will list your club, which
will allow new users to create accounts.
Also, the system will enable the team and field registration for your club, which
is unavailable until your delegate registers the club for a given season
Registering as a returning club
Existing clubs within the Delco website are required to register the club for each
season you have at least 1 team playing.
This requires the delegate to review the club profile, make any changes that are
necessary, and select a year/season to register.
Once the delegate has registered your club the system will enable the team and field
registration for your club, which is unavailable until your delegate registers the
club for a given season
Registering your teams
Once the club is registered for a season, teams can begin to register for the league. The registration process is the same
for new teams to the league or teams that have played in the Delco Soccer League
in the past.
New teams should have information regarding the last season they played, which includes
the league, age group, division and their record.
Returning teams will have their previous information automatically populated
based on their previous season played.
Note:
Returning teams should not create a new team because they will lose their
information from previous years.
Registering your fields
Fields must be registered each season.
However, once a facility (e.g.
Muncipal Park
) and a corresponding field (e.g. field A) are registered this information remains
in the system. By registering your
fields for a given season it will let Delco know what facilities and fields associated
to your club are available for play.
How are facilities and fields associated
to a club?
When you want to register a facility and field for play you can choose from any
facility and field already existing in the system or you can create a brand new
facility and field record. Once you
register the facility and field a record is created that associates the facility
and field to your club.
What if my club shares a facility
and field with another club?
If your club and another club share a facility and a field you do not need to duplicate
the facility name, profile information and field information.
All you need to do is select the existing facility and field when registering
and the system will note that you are associated to the facility and field.
The system will keep your information regarding field availability, start and end
dates for usage separate from any other club sharing your facility and field. However, only one record for each facility
will exist, which will store the address and other generic information.
The same is true for the field, but it will store the size of the field and
the available age groups.
How do I register a facility and field
that does not already exist in the system?
The same process is used for registering new facilities and fields as it is with
existing facilities and fields. The
only difference is you will have to provide the profile information about the facility
and the field.
What if I need to register a field
during the season?
A common occurrence during any season is the need to add a new field for use during
the season. All you need to do is register
the field and it will be available for use.
Club
and team registration period closing
Delco Soccer League will predetermine and publish dates for the closing of Club
and Team registration for any given season.

Verifying team alignment requests
Just prior to Delco creating the divisions and their participating teams, delegates
will be required to double check the requested age groups and divisions for each
team. A form will be available online
for performing this check and approving each team�s request.
This step helps to eliminate errors caused by teams not entering the correct information
or for any other reason the requested alignment is incorrect.
Preliminary alignment
After Delco completes the process of placing all teams in age groups and divisions
these alignments will be available for review on the website.
If a team was placed in a division or age group that the club or team does
not want. The delegate will be able
to file an appeal within in a stated timeframe and a reason for the request of changing
divisions to the board for review.
Alignment appeals
The Delco alignment committee will review all appeals and make any necessary changes
to the divisions as necessary
Preliminary home schedules
Once the alignment appeals are complete Delco begins the process of setting the
schedule. The schedule will be developed
with only dates of games and matchups.
Field location and game time will be determined by the home clubs in conjunction
with any Delco scheduling constraints.
For example, teams must allow adequate travel time for teams so early morning games
cannot be too early for teams traveling more than 1 hour.
Second, game times must be consecutive without a large amount of time off
between games. This is done for the
referees benefit.
Delegates will work with their club to fill in the game times and field locations
for all home games. Delegates will
complete their schedule online within the Delco website.
Final schedule published
Once all clubs have provided their game times and field locations Delco will do
a final review to ensure the game times meet requirements and make any changes necessary
(working with the home club),
The final schedule will be available online when complete.
